1 WHEREAS, the City of Saint Paul Employee Cookout Committee was given authority on May 6,
2 2Q09, (CF #09-450) to solicit area merchants and bazgaining units for donations for the 2009 City
3 Employee Cookout; and

5 WHEREAS, said donations were then compiled on a Ilst by the name of the donor and the
6 estimated value of each donation; and
8 WHEREAS, also per Council File #09-450, the City of Saint Paul Employee Cookout Committee
9 was required to provide City Council with an itemized list of expenditures; and
10
11 WHEREAS, a list of expenditures was compiled by name of vendor and amount of expenditure;
12 and
13
14 WHEREAS, as required by Chapter 41 of the Saint Paul Administrative Code said lists needed to
1 S be submitted to City Council for approval and ratification, now therefore be it,

17 RESOLVED, that the Council of the City of 5aint Paul hereby approves and ratifies the attached
18 list of donors with estimated value of each donation and list of expenditures for the 2009 City Employee
19 Cookout in compliance with ali of the requirements of Chapter 41 of the Administrative Code.

A resolution was approved by City Council on May 6, 2009 (CF#09-450) giving the Employee Cookou[ Committee authorization to
solicit azea merchants and bazgaining units for door prize donations for the 2009 Employee Cookout. The resolurion then required the
Cookout Committee to submit a list of donations and expenditures on a sepazate resolution to comply with Chapter 41 of the
Administrative Code.

recognizz city employees for their commihnent and dedication to pubiic service th*ough azc annual employee
cookout;and
S'�'HEI2EAS, The City Council and the Mayor aze desirous of recognizing city employee efforts, dedication,
and service commiiment believing that it promotes gositive employee morale and resuits in excellent public and
customer service fox Saint Paul citizens and finds that it is in the public interest to do so; and
'WHEREAS, The Cookout Committee is preparing for the annual City EmpIoyee Cookout to be he]d the
evening of Tuesday, August 11, 2009, at the Como Pazk — East Picnic Pavilions and requires authorization to spend
city funds; and
WII�RFAS, in the past, local businesses and anions have contributed funds and goods or services that can
be used ys awazds in random drawings for employees who attend the cookou[ and have also provided funds and
goods ar services for the cookout itself; therefore, be it
RESOLVED, the City Employee Cookout Comrnittee is hereby authorized to make any expendihue, not to
exceed $6,500.00, to £und the cookout, and shaIl provide itemization of such expendituzes to be approved in a future
resolution; and be it
Y URTHER 12ESOLVED, that the Mayor and the Saint Paul Ciry Council hereby authorizes members of
the Cookout Committee to act on behalf of the City to solicit and request donations from tocal bnsinesses, unions
and others foz the City Employee Cookout to be held on Tuesday, August 11, 2009; and be it
FTNALLY RESOLVEA, that a list of such donations, with fhe iiame of the donor and estimated value of
the donation, shalI be kept and included in a future resolution accepting the donation in compliance witf� all the
reyuirements of Chapter 41 of the Adminisvative Code.
