OFFICE SUPERVISOR-CODE ENFORCEMENT ����"� DESCRIPTION OF WORK General Statement of Duties: Performs supervisory work involving the planning, organizing and directing of clerical work entailed in issuing building permits and in administering the enforcement of building and housing codes; performs skilled clerical work in issuing permits; and performs related duties as required. Supervision Received: Works under the general technical and administrative supervision of,�•.a;�ieisfonPhead. Supervision Exercised: Exercises within a unit close technical and adminis- trative supervision directly or through subordinate supervisors over lower level clerical workers. TYPICAL DUTIES PERFORMID . The listed examples may not include all duties performed.by all positions in this class. Plans, assigns and reviews the work of clerks engaged in issuing permits, taking complaints, receiving and refunding monies, issuing certificates, preparing correspondence, recording and filing building permits, and performing related clerical duties. Participates in the selection and training of clerical employees; schedules time off. Develops, initiates and revises clerical office form letters, forms, pro- cedures, and manuals. Supplies technical information or policy interpretation in response to inquiries and complaints where a complete knowledge of departmental methods and procedures is necessary. Controls the receipt and disbursement of permit fees and plan refunds. Plans and carries out studies such as microfilm usage, records retirement and forms control. _ Prepares independently correspondence, reports or summaries. Coordinates divisional training pragrams. Studies and analyzes office procedures and equipment in order to improve productivity and workflow, simplify office procedures or implement cost reductions. Assists in preparing and assembling the budget and annual reports. KNOWLEDGES, SKILLS AND ABILITIES ConsiderabZe knowledge of governmental ordinances, laws and regulations regarding housing and building codes. Thorough knowledge of modern office practices and procedures. Thorough knowledge of departmental policies, rules, regulations, functions, procedure and organization. Considerable ability to deal tactfully and effectively with the general public. • Considerable ability to determine priorities, •plan and coordinate clerical � work. MINIMUM QUALIFICATIONS Eight years' clerical experience, at least two years of which must have been as a Building Permit Clerk, Clerical Supervisor or equivalent; or four yearst experience as a Clerk III or equivalent in the Division of Housing and Building Code Enforcement. � , ��� - . Examples of work performed: To supervise and direct the Building Permit Clerks. To assign and supervise work of the clerical staff. To supervise the preparation of monthly, yearly and special reports as required by the Bureau. To maintain building permit records and inspection records. To answer correspondence pertaining to the issuance of permits, license s, certificates of competency, certificate s of occupancy, certificates of inspection and the related fees. To maintain a correspondence file. To supervise the preparation of descriptions of materials, equipment and supplies to be used in connection with their • purchase through requisition. To be responsible for the daily receipts of the Bureau. To maintain daily receipt records. Minimum qualifications: High school graduation and eight years' clerical experience, at least three years of which must have been as a Building Permit Clerk in the Bureau of Public Buildings. • Effective June 1, 1968
