Cost Sstimate
On Thursday May 5th we met with you, the Mechanical and Structural
Engineers, regarding the remodeling of the Auditorium and the existing
Conference Rooms. At the conclusion of the meeting it was the general
consensus that the remodeling project, as it was presented was feasible.
The mechanical refitting that would be done in the existing conference
rooms was also discussed, and the proposed changes to remedy the
existing air flow problems was agreed on. The mechanical and electrical
Engineers were then instructed to prepare estimates of the cost of the
work and a proposal for there fees to prepare the necessary contract

The remodeling of the auditorium would have no adverse effect on
the mechanical or electrical distribution systems in the City
Hall Annex auditorium.
Additional storage space would be achieved through this
remodeling with restricted load limit in balcony area.
The comfort level in the auditorium area will be improved by the
lowered ceiling and better lighting.

STEP BY STEP BBFUgBISHING PLAN
The refurbishing of 11 floors in City Aall Annex will be
undertaken on a step by step basis . The proposed plan calls for
moving of onz-half of each floor during the period of time
beginning at Noon on Thursdaq to 4 : 30 P .M. on Monday. Each floor
will take two weekends to complete and only one floor will be
done a month .
Step One : Dislocated people will be moved to the 15th floor
beginning at Noon on Thursday. They will be set
up temporarily in the auditorium at tables with
with phones .
Step Two: On Friday, all furnishings will be removed from
one half of a floor and removed to the 15th floor.
Step Three : Friday A.M. the floor outlets and telephone boxes
will be removed.
Step Four: Friday P.M. the old carpeting will be removed from
the one half floor that has been vacated.
Step Five : Saturday and Sunday the one half floor will be
painted.
Step Six: On Monday A.M. , the new carpet will be laid
followed by replacing the electrical outlets and
telephone boxes .
Step Seven: The modular workstations will be reset by 4 : 30
P.M. on Monday and provisions made to continue
with the other half of the floor starting at Noon
on Thursday.

LBASSHOLD I1�P�OVBI�IBNT POLICY
City Hall Annex will pay for painting of existing walls , carpet ,
moving of furniture , swing space and phones , electrical/phone
modifications in open office area, selective lighting
replacements or relocations and workstation allowance •
Lessee shall pay for private office walls , HVAC modifications ,
electrical modifications , lighting modifications , painting, doors
and hardware due to installation of fixed partitions .
All improvements made to the space and paid by the lessee shall
become the property of the lessor.
Lessee shall submit floor plan to the lessor of their proposed
office layout , including a list of work to be performed.
Any work contemplated by tenants which necessitates an outside
contractor shall require a submission of the project to the
Property Management Section for approval . This approval is
required to ensure that legal and liability risks are managed
and that the proposed plans will comply with existing building
systems .
